Overview
Creating and sharing givers’ contribution statements is quick and simple. Follow these steps to generate statements and, if desired, customize an accompanying email for your donors.
Steps to Generate Contribution Statements

Access Contribution Statements
- From your Manager Dashboard, navigate to the Donors section in the left-hand navigation pane.
- In the Donors page, locate and select Contribution Statements.

Set Statement Parameters
- In the Details Section, specify:
- Start Date and End Date: Define the time range for the statements.
- Transaction Source: Select the relevant sources of contributions.
- Payment Type: Choose the payment methods to include (e.g., credit, ACH, etc.).
- In the Details Section, specify:

Select Donors
- Under the Donors Section, you can:
- Select All Donors, or
- Search and select specific donors for individualized statements.
- Under the Donors Section, you can:

Generate Statements
- Click Generate Statement to create the reports for your selected donors.
- Once generated, you’ll see a confirmation message stating, “Statements have been generated successfully.”
- At this point, you’ll also have the option to email the statements.
- Click Generate Statement to create the reports for your selected donors.
Emailing Contribution Statements

Prepare the Contribution Email
- Before emailing the statements, navigate to the Contribution Email Tab to draft your message
- Enter the From Email Address exactly as shown in the help text (e.g., FirstName LastName <name@email.com>).
- Add a BCC Email Address for internal records, if needed.
- Customize the Subject Line and Email Message to match your organization’s voice.
- Note: The email body will be the same for all recipients.
- Click Save to store your email draft.
- Before emailing the statements, navigate to the Contribution Email Tab to draft your message

Send Statements
- Return to the Contribution Statements Tab.
- Select Email Statements to send the statements with your customized email attached.
- If you do not want to email the statements, do not select "click to email statements", an Export option will appear for downloading a CSV file.
Exporting Contribution Information
If you prefer not to email the statements:
- Skip the email step.
- Click the Export button in the top-right corner to download the CSV File so that you may use it with a mail merge document for manual distribution.
Example: Customized Contribution Email
Here’s how a customized email with the provided contribution statement will appear to your donors:
- The Subject Line and Message Body will reflect your saved draft.
- A Legal Disclaimer will appear at the bottom of the email:
- Example: “Please consult a tax professional for any questions.”
Important Notes
- Uniform Email Content: The same email content will accompany all donor statements when emailed.
- Recommended Tools: For more comprehensive contribution statements, including cash donations and goods, consider using a Church Management System (ChMS). Many ChMS platforms also generate IRS-compliant donation statements.
- Tax Disclaimer: Ensure donors are aware of the tax disclaimer included in the statements.
