Processing a Gift on Behalf of a Donor

Objective

This guide explains how account managers can process a donation for a donor using the Virtual Terminal.

💡 Why Process a Gift on Behalf of a Donor?

Sometimes, donors may need assistance with entering a donation, such as contributing over the phone or via mail. Using the Virtual Terminal allows managers to input gifts on behalf of the donor, ensuring their contributions are processed smoothly.

How to Process a Gift Using the Virtual Terminal

Step 1: Access the Virtual Terminal

  1. Navigate to your primary account settings by clicking the ⚙️ (gear) icon at the top right corner of your Manager Portal.
  2. Select the Virtual Terminal card.

Step 2: Complete the Virtual Terminal Form

  1. Select the Location (if applicable).
  2. Choose the Fund where the gift should be applied.
  3. Enter the Gift Amount.
  4. (Optional) Click Add a Designation if the donor wants to contribute to multiple funds.
  5. (Optional) Add Comments, if necessary.
  6. (Optional) Check the Recurring Transaction box if the donor wants to initiate a scheduled recurring gift.
  7. Enter the Giver’s Contact Information (or select an Existing Donor from the donor list).

📌 The Existing Donors list displays donors who have made a transaction within the last year. You can search for a donor instead of manually entering their information.

Step 3: Enter Payment Details and Process the Gift

  1. Select a Payment Method (Required)
    • Choose Credit/Debit Card or ACH/Bank Transfer from the dropdown menu.
    • If using ACH/Bank, select Checking or Savings and enter Routing and Account Number.

  2. (Optional) Check Save to Donor Payment Profile to store the payment method for future use.

  4. Enter Payment Information:
    • For Credit/Debit Cards: Provide the Card TypeCard NumberName on CardExpiration Date, and Card Code.
    • For ACH/Bank Transfers: Provide the Routing Number and Account Number.

  5. Click Process Transaction to complete the donation.

📌 The donor will receive a confirmation email using the customized email template you created.

Important Notes

  • Security: Your givers’ payment information is always completely secure. Only the last 4 digits of their existing payment profiles are visible.
  • Declined Payments: If the Payment Profile is being updated due to a declined payment, once the new Payment Profile is saved, the declined transaction will automatically reprocess.
