How to Add, Modify, or Remove a Note, Comment, or Memo to a Fund

Objective

This article provides step-by-step instructions on how to add, modify, or remove a note, comment, or memo for a fund in your giving platform. By following these steps, you will be able to collect additional donor information and update or remove notes when they are no longer needed.

 

Why Add a Fund Note?

Fund notes allow you to gather specific information related to a donation, such as “In honor of” details for a memorial gift. This helps track the purpose of a donation and ensures the information appears in reports. Notes can also be modified or removed if they are no longer needed.

 

Add a Note, Comment, or Memo to a Fund

  1. In the manager portal, select the Fund Management tab from the left navigation menu.
  2. Select +Add Fund or Edit an existing Fund.
  3. Toggle Show note/memo field for this fund to ON.
  4. Enter a label for your notes field in the Name of note/memo field on form box (e.g., “In honor of:”).
  5. (Optional) Check Make note field required if the donor must complete it before submitting.
  6. Click Save.
    • Example: The manager has set the field to collect the name for a memorial gift.

Donor View

When a donor selects the applicable fund, the note field will appear on the donation form.

Notes entered by the giver will appear on the Transactions page, Deposit Report, and Form Responses.

 

Modify or Remove an Existing Donor Note

  1. Go to the donor’s record in the manager portal.
  2. Locate the recurring gift you wish to change.
  3. Click the three dots menu next to the gift and select Modify.
  4. Update the text in the Note field — or delete the text entirely to remove the note.
  5. Click Save.

Q: Will the note field appear for all funds?

A: No, the note field must be enabled separately for each fund.

Q: Can I make the note field optional?

A: Yes, uncheck the Make note field required option when setting it up.

Q: If I remove a note from a recurring gift, will it delete past records?

A: No, removing a note only affects future transactions; historical records remain unchanged.
