Why Account Cancellation Needs Clarity
We understand that circumstances change. Whether you’re consolidating platforms or no longer need certain features, it’s important to know what steps are required to avoid disruptions, unexpected billing, or data loss.
⚠️ Note: Cancellation may involve multiple services and vendors. It may take several days from the last donation for your account to be fully closed. Only the primary admin should request account cancellation.
Helpful Tips Before Canceling
Follow these best practices to ensure a smooth and timely cancellation:
- Notify your givers with Recurring Gifts that scheduled payments will stop once the account is closed.
- Log in and make sure no further donations can be scheduled.
- Cancel all recurring gifts to prevent future charges.
- Set your forms to “EXPIRED” so donors can no longer access them.
- Download all necessary reports for accounting and tax purposes.

- 1 year of transactions, deposits, fees, and invoices
- A complete list of donors
- A complete list of recurring gifts
- Event form responses
- Auto-generated reports (delete if unneeded)
- Ask your webmaster to remove giving forms/links from your website
💡 Important: Once the account is closed, you will no longer have access to donor data in the system.
It’s vital to save financial/tax data in advance. Our staff may follow up to ensure this is complete.
Final Billing & Confirmation
Final billing is assessed before your account is closed. After the cancellation is complete, you’ll receive a confirmation email.
