Preparing your files for import

 

The first step in completing the Donor Import process is to prepare your files for upload.

 

First, choose what information you'd like to import - donor profiles, giving history, and/or recurring gift schedules. It is important to note that profiles are the only required piece, and you may choose to also import history and/or gifts. How much or little you choose to import is entirely up to you, and each category will be uploaded as a unique file.

Depending on the giving platform you are currently using, the method to export the information above might vary from system to system. Different platforms use different terminology, so the exact wording may not be quite the same.

 

FAQ:

I'm not seeing the same words in my current system. Is that a problem?

Depending on the giving platform you are currently using, the method to export the information above might vary from system to system. Different platforms use different terminology, so the exact wording may not be quite the same.

For example, your system may use the term "Designation" while the Donor Import file will need the column header to be called "Fund." Regardless of different wording, just be sure to use the column headers in the file formats above for the import to be successful.

 

What information is required?

In the file format images above, notice some fields are required as noted with a red asterisk. If a cell in a required field is missing information, the import tool will display an error message to help you identify missing information.

 

What if donors have the same contact information?

It is important to have accurate donor information prior to completing the import. We understand you may have multiple givers in a household who share a home address. Duplicate addresses are not a problem at all! It is very important that each donor has a unique email address and phone number.

 

If your records include givers with the same email address or phone number, this will need to be corrected before completing the import.
